Mavs Swim & Dive Booster Club meeting Minutes – March 4, 2019

Agenda:
1. Banquet update- Venue of Fern Bluff community center is set, senior parents will need help with set up and tear down of chairs and tables. Food- Bates & Scruggs families have put together a BBQ menu. Patrick has asked teammates about desired side dishes (catered). Price will be $12 per person. Will need RSVP’s from all families 2 weeks in advance. Most likely will be a Google form. Money for BBQ in check or cash form will be turned in to Foss. Team members’ meals will be covered (swimmers, managers, coaches). Senior parents are organizing cakes, decorations, etc. Debbie is hosting a planning meeting, Tuesday evening at her house for senior parents. Shelley Kurgan (former Mavs parent)  is again helping consult and create decorations for our banquet.
2. Executive Board members for next year: all positions – president, vice president, treasurer, and secretary are open for next year. Interested persons should contact Kara Shomper or Anita Frey with position interested in. They will update with names at next booster meeting. Voting (ballot) will take place at banquet.
3. Training season- If below freezing in the a.m., no practice. No practice Tuesday or Wednesday (SAT day) this week. A Days- 7:30-9:30- technique training/ no drylands. B Days- 6:30 – 8 – weight room at McNeil. This schedule will run to the first week of May. Seniors aren’t required to attend either day, but are always welcome. Seniors on A days, must make an appearance to Foss.
4. Swim Meet- We have the possibility of hosting a swim meet next fall at Waterloo. Mike Varozza has given Foss a contract and has outlined the type of help we will have to have as well as associated costs.  Would be about 10 selected teams or less. Most likely we will co-host with Round Rock (they have timing and computer equipment needed/ computer Rep). The Goal is to ensure that we will have the parent participation to host this and make it a smoothly run (well behaved) meet. We would also make some profit, even after splitting with RR.
5. Intra- squad meet- possibly looking into setting one up before the meet we host, in order to train parents, officials, etc. Foss is looking into the possibility of doing this during a regular morning practice. (at Waterloo).
6. No water polo this year. There was a lack of interest.
7. Team size next year. Foss has been talking with swimmers about securing their spot by continuing to train & work hard this summer. Only current juniors on the team are guaranteed a spot and will help at tryouts. There are only 7 seniors leaving and Foss has to keep our team a size to ensure safety in the water, the ability to coach and give attention where needed, and to fit on a school bus. Team size can grow a little, but no firm number set. The possibility of getting an extra lane at Waterloo is up to our athletic director (and Mike V., owner at Waterloo). It most likely is not a money issue, but rather an equity issue as director has to look at what all 5 high schools have access to. Foss will ask if the extra lane is a possibility.

Mavs Swim & Dive Booster Club Meeting minutes- February 4, 2019

Agenda:
1. STATE- in about 2 weeks- February 15 (prelims) & February 16 (finals, if top 16). All info on UIL website. http://www.uiltexas.org/swimming-diving/state  Tickets can be purchased online =      highly recommended!
    T-shirt order will be made on Tuesday (2/5), swimmers can pay later. T shirt will be soft and short sleeved.
    Foss can take a team of 10-11 for the relays & individual events. Foss will have special silicone caps made & will order lunch for them. Swimmers will ride the bus on Friday & Saturday.
    McNeil is providing 16 timers for Friday. They will ride the bus & eat lunch from “hospitality” . If they wish to attend on Saturday, they can ride the bus down and must have a purchased     ticket to sit in stands.
2. Regionals- It was a phenomenal weekend for Foss and the swimmers. Lots of personal bests. Everyone advanced to finals on Saturday!
3. “Off Season” – some “study halls” at school, goal meetings. After state & after a good break, “A” days will be back in the pool. “B” days will try some weight room workouts.
4. Water Polo – no word yet on coaching/ interest
5. Banquet – Wednesday, April 10th. The budget is set, venue is reserved, food is being planned by Scruggs & Bates families. Shelley Kurgan will likely mentor & help with decorations. The slideshow is being planned.
6. Mavs website- Ideas for a new platform? How easy will it be to use? Who will have access to it? Will it be a direct link to McNeil swim for parents who are new or looking at our program? Ideas and thoughts- please contact Foss.
7. Nominating committee- President- Kara Shomper. Other members- Anita Frey & Abigail Scruggs. Please contact them if interested in running for a Booster board position next year. All positions – President, Vice President, Treasurer, and Secretary will be up for election. The current secretary will present candidates at the April meeting (Banquet)
8. Yard Signs – Anita Frey has a new design and this year’s signs will be sturdy. Order form coming soon.

McNeil Swim & Dive Booster club meeting 1-7-19

McNeil Swim & Dive Booster Club Meeting – 1/7/19     6:00 p.m.

Agenda:
1. RRISD POOL! – Dwayne Weirich, RRISD Athletics director has reached out to swim coaches for input that only coaches would know. 
2. Booster balance- might end the season with a very healthy budget of about $4500. We’re looking to spend money on this group of kids. From the swim a thon, with a goal of $249 per swimmer, 42 athletes raised an average of $303. 
3. Girls suits : 4 never picked them up, 2 broke, 13 say “it fits”. Foss is still in touch with D & J and trying to come up with a resolution, especially for seniors who are finishing up at McNeil. 
4. Winter training attendance. 96% attendance this year. The kids are ready for Championship season!
5. District dinner : Friday, January 25th at Abigail Scrugg’s house. She is supplying the pasta and bread, etc. We have the few other things for her (bottled waters, plates, silverware – leftover from breakfasts) There isn’t a need for a sign up this year. Haircuts are not required of any swimmer- training and racing are. Parents, please check in with your swimmer on this subject before the dinner. Parents are welcome to attend and come to watch the haircutting festivities.
6. Districts: Saturday, January 26. Timed finals at UT. T-shirts & swim caps for swimmers have been ordered by Foss. Swimmers will be asked for some $ towards these so that Foss falls within UIL guidelines on how much he can “gift” to swimmers (monetary amount). With the new district alignment, some relays may be fighting to get 5th or 6th to advance to regionals. District limits 4 swimmers/event, so not all swimmers will be competing, but all swimmers (grades eligible) will attend & travel on bus. Top 6 in each event will advance to regionals. The swimmers on relays at districts won’t necessarily be the swimmers on those relays at regionals. 
5. Regionals: Prelims-Friday, February 1 & Finals- Saturday, February 2, Mansfield, TX. There is only one week between districts and regionals. Friday session starts early, so swimmers attending will travel up Thursday afternoon on charter bus. The district covers expenses for 3 charter buses (between the 5 high schools), hotel, meet fees, and some food. We will be waiting to see how many swimmers the other schools have going & then find out how we can split buses, how we might share, etc. Regionals are the same weekend as BB Champs so some swimmers might talk with Foss early about which meet to attend if they are listed as an alternate for a relay, but likely won’t swim. Foss can list up to 8 kids per relay and then decide on relay at meet. Estimates 20-24 swimmers attending Regionals. 
6. Swim Banquet- Wednesday, April 10, Fern Bluff community center. Senior parents are coordinating decorations, cake, etc. Scruggs and Bates families are coordinating food. At the new venue, we will be responsible for setting up and tearing down all furniture, chairs, etc, so they will need some help on that end. RSVP from families will be asked for 2 weeks in advance for food. 
7. Miscellaneous: Senior parents will “cup the fence” on Thursday evening, January 24. (contacts-Hess & Shomper). Regional bag tags (Hess), posters for swimmers (Freeman) are being worked on. The bus will be decorated (very quickly) that day before the swimmers load up. Anyone wanting to help, we meet in the horseshoe parking lot on Thursday, January 31, before the bus arrives. “Goodie bags” for Regional swimmers will be coordinated by Kara Shomper (as it gets closer & numbers are known).

McNeil Swim & Dive Booster Club Meeting – 12/3/18 6:00 p.m.

Agenda:
1. Current Booster balance = $9,064.11
2. Winter Junior Nationals- this Wednesday through Saturday. Two of our swimmers – Cam & Tommy are swimming in it!!! This is the fastest meet in the country for 18 & unders.
3.  December swim schedule- some updates due to exam schedule changes and Waterloo pool availability. Dec 14- no swim, Dec 17- Foss will get a bus for an afternoon swim (2-3:45- more details coming), 18-no swim, 19- 6:30 –8 am swim, Dec 20- 7:20 – 9:30 am swim
4. Winter Training Days: 21st, 27th, 28th, 31st, Jan 2, Jan 3, Jan 4. All swims are 7:00 – 9:30 a.m. at Waterloo.
5. Winter training breakfasts. (7 total) Booster will provide the entrée for three breakfasts. Bates family has offered to provide the entrée for an additional day- Thank you!!Sign up genius link will be sent out to all families for additional items later (choc milk, fruit, casseroles, etc.)(as dates get closer)
6. Swim a Thon- shirts- seniors voted on white tee shirt, “soft feel”, front design is complete; back, with sponsors being worked on.
7. Mavs Flag – a team flag – BIG- on a 10 foot pole. Foss is working with a company on designs & ideas. Will cost around $400. Will be used at “Mavs Extravaganza” (back to school), Meet the Mavs potluck, pep rallies (maybe), and outdoor meets.
8. “Duck Pond” pictures- we are purchasing a digital copy of Molleur’s team photo to be used for scrapbook, as well as a framed picture to give to businesses that have sponsored us/ done fundraising with us.

McNeil Swim & Dive Booster Club Meeting – 11/5/18 6:00 p.m.

Agenda:
1. Aggieland- charter bus was awesome! New annual tradition, 60 – 70 personal bests. Re-cap coming soon.
2. AISD this Friday. Itinerary soon. Students eat a good breakfast or pack one from home, use the “Mavs snack bag” at the meet , and bring $ for lunch after. Lunch is set up as a fundraiser for the team – Jason’s Deli, Freebirds, Menchie’s frozen yogurt. Details to follow.
3. TISCA – itinerary coming. Kids will be leaving early on the bus. Working on food/ places to eat in Lewisville. A, B, & C finals, A & B relays! TISCA charter bus- probably just us as we are taking close to 35 swimmers and Cedar Ridge plans on also taking more, therefore bus would be really crowded.
4. TISCA Breakfast – date change – Wednesday, Nov. 14. Needs to be on an A day so kids have time to sit down & eat. Anita Frey is hosting. Swimmers will arrive there close to 8:45 a.m. Sign up sheet from Jenny Estes coming soon.
5. Winter training – dates are in handbook. Please let Foss know if you are going to miss any days. If traveling, there probably is the option to jump in a pool with another club team.
6. Swim a Thon- goal – $10, 690.00, Money prior to meeting -$ 11,448.50 (GOAL MET!), $ collected tonight = $825.00  New Total raised – $ 12,273.50 !!!!!  The intent of the money raised is to be used on this group of swimmers.

8. Nominating committee- Kara Shomper has volunteered. Janet Wilson volunteered at the meeting. If interested, feel free to contact either of these parents. Next year, we will need a new president, vice president, and treasurer. All booster officers serve one year terms and can only be re-elected to serve two years max in a single position.
9. Team photo at the “Duck Pond” – November 27th. Anita, Kara & Heather will look into a way of getting a team pic in a frame to thank the businesses that have helped with our fundraising.
10. Districts - on Saturday, January 26 this year. Team dinner at Abigail Scrugg’s house will be Friday, January 25. Foss talked about no pressure on swimmers, particularly males, who get psyched and shave their heads together at the dinner. This is something to talk about in advance with your swimmer.(as January gets closer).

McNeil Swim & Dive Booster Club Meeting – 10 -1-18

Agenda:
1. Mavs Booster – currently at 83% participation. Goal is 100% which comes back to swimmers through end of year Awards Banquet & scrapbook, etc.
2. Upcoming deposits – booster dues, Swim- A- thon collections (due by 10/26), Phil’s & Amy’s fundraiser
3. Upcoming payments/ invoices- D & J team gear, Clark Travel bus- TISCA (balance) 2005.00 due 11/2/18 – less contribution form Cedar Ridge swimmers sharing bus with us, Parent Booster Club annual dues –$200, swim meet lunches
4. Amy’s & Phil’s fundraiser – we received 20% of sales from the whole day = $1063.35. Thank you Anita Frey for setting this up and for all of the Mav families that spread the word and enjoyed a good meal that day! The bus for aggieland is in the works! Go Mavs!!
5. Swim – A – Thon – October 18. The swimmers have the artwork from the back of the shirts to give an idea of past sponsors. Also, anyone who receives a donation of $100 or more from a business, please supply a digital file of the logo to Foss so he can put it on the back of the shirt. We will have a “grab & go” type breakfast, provided by parents for the swimmers after their bazillion yards. More details as we get closer. Jenny Estes is organizing & planning.
6. Girls’ suits – Sue from D & J will contact Foss when she has the suits in hand for the girls to go to the store and try on again.
7. Banquet options – Fernbluff Community Center or Hill Country Bible Church. Looking at the second week in April for a date. (maybe April 9,10, or 11?)
8. Waterloo meet – Sign up sent out for timers and tents. Parents have already signed up to bring bottled waters and coolers – Le & Frangenberg
9. TISCA- meet is Nov 16 & 17. Team will travel up by bus very early the morning of the 16th. Lewisville. Currently working on a block of rooms at Springhill Suites for Mav Parents. (It’s a neighboring hotel to where the swimmers are ). TISCA breakfast for swimmers will be the day before. Thursday, Nov 15th after practice. Details next month.
10. The “Mavs Snack Bag” – a large duffel bag that is filled with parent provided “healthy” snacks for the swimmers to eat as needed during the meets and travel. Free to the swimmers. Currently the bag is FULL Winking smile Foss & Carter will let the swimmers or us know when it is running low and we can donate snacks to it.

9-10-18 Booster Club Meeting Minutes

McNeil Swim & Dive Booster Club Meeting – 9-10-18

Agenda:
1. Mavs Booster – currently at 77% participation. Goal is 100% which comes back to swimmers through end of year Awards Banquet & scrapbook, etc.
 
2. Update on Girls suits- Speedo is working on a solution. If not in hand by next Thursday, girls can wear a practice suit & Foss will have Mavs swim caps. 
 
3. Purchases – District gives $1000.00/ yr. – will be used towards new backpacks, team swim caps. Mavs have $500 in Activity Account (not Booster money)- will spend part on tubing for paddles, “ab” mats, building “wheelies” 
 
4. Aggieland Charter bus- estimated $1500 – $1700. A fundraiser is in the works!
 
5. Swimathon- October 18. Foss is working on the letter for the swimmers to use for getting donations, as well as a list of the past few years’ sponsors, so the swimmers know where to go. This year’s amount = $250 a swimmer. The budget was shared. (Has also been shared with swimmers). 
 
6. Team T-shirts- through D & J – (they don’t charge a set up fee for art work)
 
7. TISCA – Cedar Ridge will be sharing a charter bus with us . They will pay a percentage of the bus fee based on number of swimmers attending. 
 
8. Breakfasts for swimmers- October=Swimathon, November= TISCA, December= Winter Training breakfasts (daily), January= Districts, February = Regionals. No breakfast for first meet as focus is on work & tests that will be missed that day. 
 
9. Tents/ Canopies for District 11 Invite next Thursday – families bringing one to pool to set up for swimmers- Trevino, Shomper, Frey, Wilson, Bibb, Crowley

11. Nominating committee members needed for next years officers. Need 3 people who do not plan on running for a position next year. All officers serve annually, and all positions have different terms.  Please contact Debbie Hess, d.hess@utexas.edu if interested.  Next year, our current president & treasurer are “graduating” or will have served the max term. 
 
12. UIL Officials. Discussed reimbursing Mavs UIL officials the $30 registration fee if they officiate 4 or more meets and if there is money in the budget at year’s end.
